Room Change and Self-Consolidation

Room Changes

At the start of each semester there is a two-week freeze on all room changes. The two-week freeze period allows the Residential Life staff an opportunity to evaluate occupancy as well as give roommates an opportunity to get to know each other. All room change requests must be submitted to the Residential Life office for approval. Students may not change rooms until they receive a room change approval notice from the Residential Life office. Unauthorized room changes will result in a $150.00 fee and possibly moving back to the previously assigned room.

Room changes are not permitted on a basis of gender identify, race, color, religion, sex, national origin, age disability, sexual orientation, or political orientation. Room changes are subject to availability and at the discretion of Residential Life staff.

Self-Consolidation

The Office of Residential Life reserves the right to place people in vacant spaces as needed. This could happen at any time, depending on the need and you will receive as much advance notice as possible. Students currently housed in spaces with empty beds (whether in a double-, triple-, or quad-occupancy space or in a suite) are given the opportunity to select another student to fill the vacant space(s) by completing the form below. If both parties do not submit his form, consolidation is not guaranteed. Once this form is received from all involved the Office of Residential Life will email all involved residents and respective building staffs with instructions for the moving process. No moves are permitted to take place before this confirmation email.

Some things to keep in mind:

  • First-year students may only change rooms or consolidate with other first-year students, and must remain in either Harmon, Hoben, or Trowbridge.
  • Sophomores, juniors, or seniors may only change rooms or consolidate with other sophomores, juniors, or seniors and must remain in Crissey, DeWaters, Harmon, Severn, or within the Grove houses.
  • Room rates are as posted, including the additional charge for singles.
  • Some empty spaces may be on held by the Office of Residential Life for specific reasons. If you happen to request a space that is held, you will be notified of this.
  • Students may not “buy out” the open bed(s) in their space. Students with vacant beds in their space may either self-consolidate or allow the Office of Residential Life to make a decision regarding the bed as needed (which may be to fill it, or to leave it empty depending on the need). Please do not inquire about buying out the empty bed(s) in your spaces.
  • If you are not assigned a roommate for the following term and you find someone you’d like to self-consolidate with, the self-consolidation request process will be afforded to you at the start of the next term.

Self-Consolidation Agreement

By submitting this form I agree to complete a room change, as directed by the Office of Residence Life, into the residence hall space indicated above. I will not begin my move until after this request is reviewed and approved. I will follow all room change directions provided in a confirmation email sent to me by Residential Life once this room change/self-consolidation request is reviewed and approved. If I am currently residing in the residence hall space indicated above, I agree to having the other student listed above move into my current space with me and will ensure that the second bed space and approximately half of the room space is available for them upon move approval. I agree to any billing adjustment necessary should my room change include moving to a different room-occupancy type than my current assignment.
